1. Financial issues
· Is there a fee?
There is no real tuition fee to be paid. Many of the costs are covered by the Erasmus grant but students will have to make a contribution of 600 €. The EU funds + student contributions cover accommodation, full board for teaching staff and students, lecture notes, study material, excursion and organisational costs.
Students from the Host University pay a non-residential rate as they do not require accommodation.
· Is there financial support for travel?
Students belonging to the Erasmus Intensive Programme Project, i.e. Antwerp, Aarhus, Belfast, Bologna, Bratislava, Budapest (Eötvös Loránd Tudományegyetem), Brno, Cork, Graz, Iasi, Krakow, Leipzig, Ljubljana, Madrid, Utrecht and Vilnius are entitled to receive a partial reimbursement of their travel costs, provided they comply with the requirements of the School and provide required documentation. Students from the host university cannot receive any reimbursement for travel.
· Conditions for travel refund
IP rules state “Partners are requested to use the cheapest means of travel and to take advantage of reduced fares”. So students are requested to book their ticket well in advance in order to get the lowest fare possible and to use low cost carriers where available. The budget is allocated on travel estimates which are based on these advantage rates.
· How much is the travel refund ?
In principle the IP provides a budget for students’ travel up to 75% of the costs. So the school disposes of a fixed budget calculated on estimates and based on economy class, low-cost carriers, well-in-advance purchases. The budget can only be divided once we have received all invoices. For students coming from the same university the average will be applied.
· How to apply for travel refund ?
You do not need to apply separately for the reimbursement. All students entitled for travel refund will receive from the organisers before departure a set of forms to be completed and returned to the university of Antwerp immediately after return home together with the original travel documents.
Please bring already all travel related documents with you in order to have them copied.
IMPORTANT! Due to auditing requirements, it is essential that you keep all original invoices, receipts, used travel tickets, photocopy of the visa, boarding passes, proofs of payment and send them to us.
As the final report is due two months after the school you are urged to turn in the requested documents well in time! Otherwise we will not be in a position to offer you the (partial) reimbursement.
